Overview

The DramTrade Dispatch Board is the operational core of your field service business. Every job your team runs — from initial booking to final sign-off — is managed here. The board gives dispatchers a real-time view of all active, scheduled, and unassigned work, with drag-and-drop scheduling and AI-assisted routing to keep your field team moving efficiently.

Key Concepts

Job — The fundamental unit of work. A job belongs to a customer, has one or more assigned technicians, a scheduled time window, and tracks status throughout its lifecycle.

Dispatch Board — A Kanban-style view grouped by job status. Columns represent each stage, and cards can be dragged between them as work progresses.

Calendar View — A time-based grid showing technician schedules side-by-side. Useful for identifying gaps and preventing double-booking.

Technician Assignment — Each job can have one or more technicians assigned. Skills and certifications are matched automatically when AI dispatch is enabled.

Job Status Lifecycle

Jobs move through a defined sequence of statuses:

Status Meaning
Scheduled Job is booked and assigned to a technician
En Route Technician has departed for the job site
On Site Technician has arrived and checked in
In Progress Active work has begun
Complete Work finished and ready for invoicing

Technicians update status from the mobile app. Dispatchers can override status from the board at any time.

How It Works

Creating a Job

  1. Click New Job on the Dispatch Board or Calendar View.
  2. Select or create a customer record.
  3. Choose the service type from your price book.
  4. Set the date and preferred time window.
  5. Assign one or more technicians — DramTrade highlights recommended techs based on skills, location, and current workload.
  6. Save. The job appears on the board and the assigned technician receives an immediate push notification.

Drag-and-Drop Scheduling

From the Calendar View, grab any job card and drop it onto a different technician's row or time slot. The system validates for conflicts before confirming the move. Technicians receive a rescheduling notification automatically.

AI-Assisted Dispatch

When AI Dispatch is enabled (Settings > Dispatch > AI Optimization), DramTrade analyzes open jobs and technician locations in real time to surface the optimal assignment. Recommendations appear as highlighted suggestions on the board. Dispatchers review and accept or override with a single click.

AI dispatch factors in:

  • Current technician GPS position
  • Estimated job duration
  • Technician certifications and skill tags
  • Driving time between consecutive jobs

Bulk Scheduling

Select multiple unassigned jobs using the checkbox on each card, then choose Bulk Assign from the action bar. AI Dispatch will sequence and assign the selected jobs across available technicians.

Tips

  • Use time windows rather than exact times when scheduling — customers prefer flexibility, and it gives dispatchers room to optimize routes.
  • Tag technicians with skill sets in Settings > Team > Skills so AI dispatch can match jobs to qualified techs.
  • The Unassigned column is your priority queue — any job sitting there is at risk of missing an SLA.
